Fence Estimate Template (What Wins Jobs in 2026)

A good fence estimate isn't just a price on paper. It's a sales tool. The contractors who win the most jobs have proposals that look professional, build trust, and make it easy to say yes.

Here's exactly what your fence estimate should include — and how to format it.

What Every Fence Estimate Needs

1. Company Header

  • Company name and logo
  • License number
  • Phone, email, website
  • Insurance info (customers check)

2. Customer Information

  • Customer name
  • Property address
  • Date of estimate
  • Estimate number (for your records)

3. Scope of Work

Write it in plain English. Example:

"Install 156 linear feet of 6-foot cedar board-on-board privacy fence along the rear and left side property lines. Includes removal and disposal of existing 4-foot chain link fence. Two walk gates (42" wide) with self-closing hinges."

Be specific. "Install new fence" is not a scope of work.

4. Material Specifications

List what you're using:

  • Posts: 4x4 cedar, 8ft lengths, set in concrete 36" deep
  • Rails: 2x4 cedar, 3 per section (top, bottom, middle)
  • Pickets: 1x6 cedar dog-ear, 6ft
  • Hardware: Galvanized screws, Simpson post brackets
  • Gates: Cedar frame with steel reinforcement, self-closing hinges, thumb latch
  • Concrete: 2 bags per post (Quikrete fast-set)

This builds trust. The customer can see exactly what they're getting.

5. Price Breakdown

Option A — Lump Sum:

Total: $8,400

Simple but gives the customer nothing to compare. They'll wonder if they're being overcharged.

Option B — Itemized (Better):

ItemQtyUnit PriceTotal
Cedar privacy fence156 lf$38/lf$5,928
Walk gate (42")2$450$900
Old fence removal156 lf$4/lf$624
Permit1$150$150
Total$7,602

Itemized estimates close at higher rates because customers understand what they're paying for.

6. Timeline

  • Estimated start date
  • Estimated completion (most residential fences: 1-3 days)
  • Note weather dependencies

7. Payment Terms

  • Deposit amount (typically 30-50%)
  • Balance due on completion
  • Payment methods accepted
  • Financing options (if offered)

8. Terms and Conditions

  • Warranty (workmanship: 1-5 years, materials: manufacturer warranty)
  • What's not included (landscaping repair, underground utility locating)
  • Change order process
  • Cancellation policy

9. Signature Block

  • Acceptance signature line
  • Date
  • "This estimate is valid for 30 days"

Pro Tips That Win More Jobs

Present Two Options

Give the customer a choice: Good (treated pine, $5,800) and Better (cedar, $7,600). This anchors the conversation on your options instead of comparing you to competitors.

Add Photos

Include a photo of a similar completed fence. One image is worth a thousand words of description.

Add a "Why Us" Section

Three bullet points: years in business, number of fences installed, insurance coverage. Quick credibility.

Send It Fast

The first professional estimate wins. Period. If you're still going home to "type it up" in Word, you're losing jobs to contractors who quote from the truck.

Skip the Template — Automate It

Templates are better than handwritten quotes, but they still require manual work. FenceCalc generates complete fence estimates — with material takeoffs, pricing, your branding, and e-signatures — in about 60 seconds.

Every estimate is a branded PDF your customer can approve and sign from their phone.
